This document sets forth the terms and conditions under which you may use our Service and describes how we handle your data to respect your privacy.

Service Description

Hotseat AI is an AI-based Q&A platform that provides users with AI-generated responses to legal inquiries, marketed as a legal research tool. Our service analyzes texts of regulations and their surrounding documents, such as official guidelines and court rulings, to support your legal research needs. While it offers valuable insights, Hotseat AI does not constitute legal advice, and we advise users to consult a professional lawyer for high-stakes legal matters.

While our current focus is on EU law, particularly regulations relevant to tech companies, we are ambitious about expanding our service to cover a broader range of legal jurisdictions and topics, catering to the evolving needs of our global user base.

User Eligibility and Account

Our service is globally accessible, and users are required to create an account to engage with Hotseat AI. This includes both private queries, which are part of our paid service, and “community questions,” which are free but still require an account to submit. This account requirement, even for community questions, helps us combat spam and ensure a high-quality experience for all users.

Community questions are public and contribute to a shared knowledge base on our website. They are subject to our exclusive right to moderate, and we retain the discretion to decide which inquiries qualify as community questions. For specific, private, or detailed legal research needs, we encourage users to explore our paid service options.

Purchased Question Credits Validity

When users purchase prepaid question packages, each package includes a set number of question credits. These credits are valid for a period of 3 months from the date of purchase. Users are encouraged to utilize their question credits within this validity period, as unused credits will expire and cannot be refunded or extended beyond the 3-month timeframe.

We recommend users plan their legal research needs accordingly to make the most of their purchased question credits. This policy helps us manage the service efficiently and ensure all users have access to timely and accurate legal research assistance.

User Obligations

Users are expected to engage with Hotseat AI in a manner that is respectful, legal, and ethical. This includes refraining from submitting any content that is illegal, offensive, or in violation of intellectual property rights. We reserve the right to remove content deemed inappropriate and to terminate accounts that violate these obligations.

Intellectual Property

For questions submitted as part of our paid service, the intellectual property rights of the question and the generated answer remain with the user. Hotseat AI does not claim ownership of the content generated through paid inquiries. Users are permitted to use, reproduce, adapt, publish, and distribute the content generated in response to their paid questions for their business operations or client interactions, subject to these terms.

Community Questions

All content submitted by users as part of the community questions, including the questions themselves and all responses generated by Hotseat AI, are owned by Cherry Woods, Inc. By submitting community questions, users grant Hotseat AI a worldwide, non-exclusive, royalty-free license to use, reproduce, adapt, publish, and distribute the submitted questions and generated answers in any format or medium for the purpose of operating, promoting, and improving our services, and for developing new ones. This license continues even if a user stops using our service.

We respect the intellectual contributions of our users and are committed to using this content responsibly and ethically to enhance the service we provide. Users should ensure they have the right to submit the content they post to the service and that their submissions do not infringe upon the intellectual property rights of others.

Disclaimers and Limitations of Liability

Hotseat AI provides best-effort, well-researched answers but does not guarantee the accuracy of the content. The service assumes no liability for errors. Users dissatisfied with the service’s accuracy may be eligible for a refund under our money-back guarantee policy.

Data Privacy and Retention

Hotseat AI Data Retention

We collect only the essential personal data necessary for delivering our service, such as email addresses and names, along with the record of user questions. This information is securely stored and utilized solely for service-related purposes. We store submitted user questions for up to 6 months.

Partnerships with Reputable Third-Party AI Providers

To implement our service, we have standard business agreements with leading third-party AI providers, including OpenAI and Anthropic, who are committed to data protection standards. Our agreements with these providers are grounded in business terms that mandate the standard contractual obligation of data deletion after a specified period.

In accordance with these terms:

  • OpenAI securely retains data submitted via their API for up to 30 days, post which both inputs and outputs are systematically removed, unless legal obligations necessitate longer retention.
  • Anthropic adheres to a policy of automatically deleting prompts and outputs on the backend within 28 days of receipt or generation, except when required for enforcing their Acceptable Use Policy or due to legal requirements. This standard practice is part of our business agreement with Anthropic.

Non-identifiable Data Sharing with Third-Party AI Providers

When questions are submitted to our third-party AI providers for processing, we only share the content of the questions themselves. We don’t submit any personal identifiers such as email addresses, names, or any other information that might reveal the identity of the individual or organization submitting the question. However, it’s important to acknowledge that the content of the questions may inadvertently contain details that could hint at the user’s identity or affiliation. In such cases, Hotseat AI assumes no responsibility for the potential identification based on question content alone.

We are exploring the possibility of implementing more advanced anonymization techniques that might, for instance, strip specific identifiable entities from the content of questions. However, this approach presents significant technical challenges, and any decision to adopt such measures will be carefully considered in response to market demand and the overarching need to maintain the integrity and utility of our service.

Beta Phase Inspection Rights

During our beta phase, we reserve the right to review user questions to debug and improve our AI systems. This is essential for enhancing service quality and user experience.

Use of Data in AI Training

Our partnerships with third-party AI providers, such as OpenAI and Anthropic, are built upon business agreements that prohibit the use of submitted data for the training of their AI models. This ensures that the data shared for the purpose of generating responses to user inquiries is used solely for that purpose.

Analytics and Service Improvement

To enhance the Hotseat AI user experience continually, we employ analytics tools like PostHog, which provide insights into user interactions with our service. This analytics data is exclusively used for service improvement and is handled in compliance with our privacy standards, contributing to the ongoing development and refinement of Hotseat AI.

By using Hotseat AI, users agree to our data handling practices, aimed at protecting privacy and improving our service.

User Content and Reporting

Users can contribute content in the form of questions. We reserve the right to moderate and remove content at our discretion. The process for reporting inappropriate content will be developed as our service evolves.

Termination and Cancellation

Users can discontinue using our service at any time. Since our service operates on a pre-paid question package basis, there is no subscription cancellation process.

Modifications to Terms

We may update these terms as necessary. Users will be notified of significant changes via email and must accept the revised terms to continue using the service.

Governing Law

These terms are governed by the laws of the United States. We currently do not specify a formal dispute resolution process and encourage users to contact us directly with any concerns.

Miscellaneous

These terms constitute the entire agreement between Hotseat AI and its users. We disclaim all liability and offer no warranties beyond those explicitly stated herein.
